The Radiation Therapy Scheduling Coordinator schedules all proton treatment related services to include simulation, daily treatments, QA CT scans, and weekly physician appointments. In addition, assists patients with coordinating ancillary activities such as diagnostic testing and referrals to other healthcare providers and services.  Works with Intake, Nursing, Physician and Radiation Therapy teams to ensure patient scheduling is accomplished cooperatively and efficiently.

The Radiation Therapy Scheduling Coordinator performs a variety of administrative tasks in collaboration with the providers and the treatment team ensuring that company administrative standards are being met/exceeded.

Appointment Scheduling:

  • Schedules Center appointments including: simulation, daily radiation treatments, on treatment visits (OTV), nursing visits, and other team member appointments as directed.
  • Enters appointments in Mosaiq and Epic making sure they’re congruent with one another.
  • Coordinates scheduling and referrals to other health care providers and services (Fiducial Marker, SpaceOars, Chemotherapy, Dental Consults , labs, imaging studies such as MRI/CT etc.)
  • Assembles and sends appointment and other information to patients and care team members.   
  • Assists in the preparation and maintenance of provider and clinic schedules.
  • Serves as a point of contact for patients, caregivers, and other healthcare providers regarding coordination of care.                              

Telephone Support:

  • Answers phone and triages patient calls in a professional, courteous, and efficient manner; directing calls as appropriate.
  • Provides reminder calls to patients for upcoming appointments.
  • Provides update calls to patients regarding the status of their treatment.
  • Using clinic guidelines, gathers information regarding the nature of the patient concern.  Triages calls to appropriate staff; obtains necessary information for the return call; initiates emergency procedure when necessary; uses appropriate documentation tools.
  • Communicates basic information to patients such as parking and driving directions.   

General Duties:

  • Assists in orientating and training new staff.
  • Complies with HIPAA regulations, maintains strict confidentiality of patient information.
  • Reviews email frequently to stay current with clinic communication.
  • Uses critical thinking skills to identify and solve problems.
  • Has excellent multitasking and time management skills.
  • Accountable for exceptional customer service and patient care standards.
  • Identifies and ensures patient/family needs are met.

  • 1-2 years of administrative experience in a healthcare setting preferred
  • 1-2 years of direct patient care experience preferred
  • Experience in oncology setting preferred
  • Exemplary customer satisfaction skills are a priority, including dealing effectively with the public, both in person and over the telephone.
  • Establish and maintain positive and professional cooperative working relationships, fostering a team environment.
  • Excellent time management and organizational skills.
  • Ability to handle sensitive/confidential information.
  • Ability to exercise independent and critical thinking and use good judgment when appropriate.
  • Excellent written, interpersonal and verbal (including phone) communication skills.
  • Knowledge of medical terminology, medical procedures and equipment.
  • Experience and competence in using EMR and other computer based programs.
  • Competitive candidates will have demonstrated clerical experience and previous experience working with patients. Inherent to success in this position are strong organizational skills, the ability to multi-task under pressure and manage multiple deadlines.
  • Occasional evening and weekend hours will be required.
  • High School graduation or equivalent AND one year of experience in a health care setting OR three years of general office or customer services experience OR equivalent education/experience.
