    The Seattle Cancer Care Alliance (SCCA), located in Seattle, Washington, is part of a dynamic collaboration among three organizations known nationally and internationally for their patient care and research: Fred Hutchinson Cancer Research Center, University of Washington, and Seattle Children's. Over the past 25 years, these institutions have worked together to support their mission of adult and pediatric oncology patient care services, research and education.

     

    The IT Project Coordinator II works directly with the Vice President and Chief Information Officer of the SCCA in support of critical Information Technology Initiatives, and initiatives of the office of the CIO.

    Organizes daily efforts of the office of CIO. This position works closely with IT leadership, under the direction of the CIO in developing and forming standards, initiating projects, measuring process and outcome metrics, and reporting. This position is a professional liaison between the CIO and other Alliance leaders, SCCA leaders, and IT staff and Leaders. Effectively develops written and visual communications from the office of the CIO.

    Responsibilities

    • Makes travel arrangements and processes expense reports.
    • Arrange and oversee all administrative, logistical and hospitality aspects of internal department meetings, including preparing agendas and minutes as well as making the necessary business travel arrangements, preparing agendas, compiling and distributing materials, and recording meeting minutes. Proactively ensuring things are not overlooked.
    • Manage and maintain filing system, ensuring compliance with CIO’s policies and protocols.
    • Researches and compiles data, may analyze, for special projects
    • Serve as primary administrative liaison and point of reference for, staff, other internal contacts, consultants, and other external contacts. Acting as a liaison and point of reference for cross-functional teams.
    • Process sensitive and confidential materials and information. Use professional discretion in handling information and documents.
    • Completes special projects by organizing and coordinating information and requirements; planning, arranging, and meeting schedules; monitoring results.
    • Develops communications regarding strategic initiatives and special projects. Communication includes newsletters, presentations, dashboards, and internal marketing.
    • Manage the administrative operations in a manner that meets continuous performance improvement, customer service, and delivery requirements set forth by VP of Shared Services.
    • Partners with the executive leadership team to identify and implement the operational needs of upcoming organizational/ departmental projects and programs initiatives.
    • Leads and supports development and maintenance of standard work and related tools, policies, training materials, and methods/procedures for communication and coordination with internal leadership teams and departments, including administrative and program assistants throughout the organization
    • Add Process improvement concepts and implementation of CPI/Lean methodology for staff in their working environment.
    • Ensure that all assigned project meetings are scheduled with the appropriate frequency, AV and catering requirements.
    • Participate in project meetings and working sessions to document as required.
    • Work successfully with multidisciplinary project teams. This involves interacting with many different levels of staff, alliance partners and affiliated organization.
    • Effectively use written and oral communication skills. This includes note taking; the efficient use of e-mail; maintaining clear, concise project documents and budget information.

    • Successfully support multiple projects in varied environments and adapt to different project needs, constraints and barriers.
    • Perform other/additional duties in support of the office of CIO as needed.

    Qualifications

    Qualifications:

    • Proficiency with common office applications (MS Word, Excel, SharePoint, PowerPoint, Project and Visio) Adobe Standard and expert-level proficiency with Outlook scheduling.
    • Strong interpersonal, oral & written communication skills.
    • Strong organizational and planning skills.
    • Able to work independently and prioritize work.
    • Able to work with all levels of partner organization staff.
    • Appropriate decision-making skills.
    • Ability to work well with all levels of an organization, with a high level of customer service.

    Preferred Qualifications:

    • Administrative support experience.
    • Experience with process improvement methodology.
    • Experience working in IT and/or Hospital environment.
    • Experience with SharePoint.
    • Experience with/interest in business analysis and/or technical writing.

    Education: High School

    Preferred: BA/BS or work equivalent
