  • Overview

    The Seattle Cancer Care Alliance, located in Seattle, Washington, is part of a dynamic collaboration among three organizations known nationally and internationally for their patient care and research: Fred Hutchinson Cancer Research Center, University of Washington, and Seattle Children's. Over the past 25 years, these institutions have worked together to support their mission of adult and pediatric oncology patient care services, research and education. 


    The BMT Auto Team Coordinators are under the direct supervision of the BMT Support Staff Supervisor. Working independently, they schedule all patient and donor appointments on an identified care team, for services performed by or at the request of the BMT medical, nursing and ancillary services staff, in accordance with clinical practice and research objectives.  Effective communication with various constituents including but not limited to patients, their families, physicians, nurses, co-workers and other departments/laboratories is required. At times they direct the work of others.


    This individual works with considerable independence and is expected to be pro-active and to use strategic thinking and sound judgment to accomplish their duties.  They must keep abreast of changes in protocols and procedures related to patient care, in order to efficiently carry out their daily duties. This position must also maintain familiarity with the University of Washington Medical Center patient intake/flow processes to facilitate scheduling of patient visits occurring outside of the Alliance Clinics.


    • Schedules all patient appointments related to treatment within the SCCA as well as outside consults and referrals. Coordinates scheduling with other departments to ensure efficient patient flow.
    • Works closely with patients, families, visitors, providers and staff to identify needs, answer questions, resolve problems, provide information and follow up.
    • Communicates with providers (physicians, therapists, etc.) technologists, and nurses regarding the patient's scheduling needs, treatment schedule, and additional requests. Notifies appropriate parties as needed.
    • Manages and prioritizes scheduling requests.
    • Recognizes emergency situations and initiates correct code procedures.
    • Supports the overall function of the department, and may be required to take on additional duties such as cross coverage, special projects, etc.
    • Assists with the training of new staff
    • Demonstrates knowledge and understanding of patient privacy rights.  Maintains confidentiality of all medical, financial, or other sensitive materials and information in printed, electronic or verbal form, which may jeopardize the privacy of patients.  Accesses and uses the minimum necessary patient identifiable information to perform job responsibilities and duties and only for authorized purposes.
    • Demonstrates knowledge and understanding of, and maintains confidentiality of employee information and SCCA strategic plans and initiatives, financial information or other sensitive materials and information in printed, electronic or verbal form, which may jeopardize employee rights or the organization’s operations.  Accesses and uses the minimum necessary employee and organization information to perform job responsibilities and duties and only for authorized purposes.


    • High school diploma or GED required
      • BS/BA preferred
    • 1 year strong customer service or healthcare experience required.
      • 4 years of clinical scheduling experience preferred 
    • Excellent oral and written communication skills.
    • Flexibility, attention to detail, sound judgement, and ability to work under pressure to meet strict deadlines.
    • Ability to prioritize workload, multi-task and respond appropriately in sensitive situations is necessary.
    • Ability to work with diverse groups of medical providers and patient populations.
    • Medical Terminology and familiarity with ICD-10 and CPT coding
