    Seattle Proton Therapy Center, a nationally recognized treatment center providing advanced therapies and precise form of radiation treatment for adult and pediatric cancer patients, is looking for a high caliber Executive Assistant to support the President/CEO and her Leadership Team in a fast-paced and entrepreneurial environment, located in Seattle, WA.

     

    The Executive Assistant performs a wide variety of administrative and program support of a highly complex, confidential, and responsible nature for the President/CEO, VP of Operations, Chief Financial Officer and the Board of Trustees. As assigned, oversees and/or participates in the coordination and completion of special projects and events. Serves as a primary administrative contact for internal and external customers which may involve complex and confidential issues.

    Responsibilities

     

    • Interface with SCCA Proton Therapy Center employees at all levels, board members, and C-level members of other companies.
    • Assist the President/CEO, VP of Operations, and the Chief Financial Officer in various aspects, including but not limited to: meeting preparation, preparing and editing correspondence, communications, presentations, and other documents.
    • Schedule and coordinate itineraries for domestic and international travel.
    • Manage and maintain executives’ calendars, appointments, and travel arrangements.
    • Process expense reports via the electronic expense report system (Intaact).
    • Arrange and coordinate meetings and events.
    • Record, transcribe, and distribute meeting minutes.
    • Monitor, distribute, and respond to incoming communications.
    • Creates, composes, and edits technical and/or administrative correspondence and documentation; screens and evaluates incoming and outgoing correspondence and prepares responses as appropriate.
    • Builds and maintains filing/tracking system for critical operational and corporate documents, and information.
    • Receive and interact with incoming visitors.
    • Oversees the Administrative Assistant in daily operations in support of the Medical Director and other management staff members.
    • Answer and manage incoming calls.
    • Coordinate project-based work.
    • Handle other special projects as needed.

     

    Qualifications

    WORK EXPERIENCE REQUIREMENTS

    • Three years’ experience as an Executive Assistant required, five years preferred or a minimum of five years Administrative Assistant experience.
    • Experience in a healthcare, business or legal setting preferred.

    REQUIRED SKILLS AND ABILITIES

    • Types 60 wpm.
    • Strong oral, written, and customer service communication skills.
    • Proficient Microsoft Office skills, especially with Outlook, Word, Excel, and PowerPoint.
    • High level interpersonal skills to effectively interact and communicate with individuals at different levels of the organization, as well as with outside clients, physicians, and board members.
    • Strong attention to detail.
    • Ability to prioritize, organize and multi-task.
    • Maintain high ethical and confidential standards.

    EDUCATION/DEGREE

    • Some business school, college, or post-secondary training courses required.
    • Bachelor’s degree preferred.

    OTHER

    • Physical Demand level: Sedentary.
    • In an 8-hour workday, must be able to lift/carry 10 pounds occasionally. As required, must be able to sit, stand, walk, bend, squat, kneel, crawl, climb and reach above shoulders, push and pull, perform fine motor functions and must possess functional vision, hearing, and speech in order to communicate effectively with clients, client advocates, and staff.
    • Exposures to hazardous risks include radiation exposure (under the ALARA principle), potential exposure to infectious and communicable diseases, blood and body fluids, electrical equipment and chemicals. Potential for bodily injury due to lifting. Required to follow universal precautions. Exposure to cleaning / sterilization agents. Hazards will be minimal if proper safety precautions are utilized. Work is mainly performed in an area with no natural light, and in close proximity to other team members.
    • Seattle Proton Therapy Center utilizes RFID (Radio-Frequency Identification) tags at the centers for the purposes of analysis of productivity and patient throughput. This information is not for use as a management tool for employee performance issues.
