Responsibilities

The Program Assistant II assists with the coordination of lab testing and reporting for all donors and patients.  The employee works closely with technologists and technicians in Clinical Immunogenetics and coordinators in the Intake department. 

 

This is a fast-paced clinical environment.

  • Answer phone calls from clinicians, mid-level providers, referring physicians, patients and family members regarding testing in CIL. Take messages or refer calls as appropriate.
  • Act as front line contact for other SCCA departments, such as the Alliance Lab, regarding lab reports and/or sample acquisition from patients and donors.
  • Gather demographic and billing information over the phone.
  • Screen potential family donors over the phone using standardized questionnaire and script.
  • Enter patient information into Gateway, Epic and CIL’s Lab Information System (LabVision).
  • Prepare hard copies of patient information for the Cell Processing area of the laboratory.
  • Request samples and monitor their arrival. Track late samples, obtain resolution when possible, and document as needed.
  • Maintain, organize, and file paperwork in CIL patient charts (“blue files”).
  • Distribute HLA Summary reports to appropriate departments and referring physicians.
  • Send out sample collection kits (green top tubes, saliva kits, buccal swabs) using Fed Ex.
  • Work with Cell Processing to resolve questions regarding sample identification and agreement with lab requisitions. Communicate with blood draw or outside institutions to resolve discrepancies.
  • Assist the Clinical Case Coordinators, Lab Manager, and Lab Director to communicate effectively with the SCCA Clinical Coordinator’s office, the Transplant Clinicians, and the URD Search Specialists regarding pending samples and results.
  • Assist Lab Manager to answer questions regarding billing.

Qualifications

Preferred:

  • Experience using EPIC/ORCA or other EMRs
  • Prior experience in a medical office/clinical setting
  • Associates or Bachelors degree
  • Experience working in fast-paced/high-stress environment

 

Required:

  • Patient/Customer Service experience
  • High School Diploma or equivalent.
  • Ability to communicate effectively.
  • Microsoft Office experience.
  • Proficiency with computers.
